Study Abroad and Work Placement Pre-Departure Briefing 20 April 2016 Section 1: Your Academic Programme Abroad All students who will be studying for credit at another university in 2016-2017. A New Academic Culture Dr Stephen Tyre Pro Dean (Advising) Faculty of Arts and Divinity Academic Culture Be prepared for different styles of teaching and learning e.g. • • • • Different expectations with regard to written work Different class types and sizes More or less contact time Different modes of assessment Academic culture will vary across all of our partner institutions Academic Culture Familiarise yourself as much as possible before you start: • Attend any School or CSA briefing sessions • Speak to students who have been already • Research academic guidance on the host institution website • Read any orientation materials from your host institution Academic Culture When you arrive: • Attend any orientation sessions for visiting students • Use academic support available at the host institution e.g. is there an academic support unit similar to CAPOD? • Use office hours where available Academic Culture DO: • Seek help when you need it • Remember that you are entitled to the same support as regularly enrolled students at the host institution AND that you are subject to the same rules and regulations DON’T: • Make assumptions based on your experience at St Andrews – check local policies e.g. • What is the host’s policy on late submission of work? Academic Culture The first few weeks at your host institution may be challenging – allow yourself time to settle in If you think about coming home: • Give yourself time to think about your options carefully • Seek advice from your Study Abroad Co-ordinator and CSA NB It is extremely unlikely that you will be able to join the St Andrews semester after week 2 The WIYA Dissertation • Related to the country or area • Supervisor in St Andrews • Topic to be approved by November • Submitted in May The WIYA Dissertation French, German, Italian, Spanish Written dissertation 5,000 words (80% of final grade). Ten-minute oral examination (20% of final grade). Russian Written dissertation 4,000 words (80% of final grade). Ten-minute oral examination (20% of final grade). Split WIYA Written dissertation 5,000 words (4,000 in Russian) (80% of final grade) in one of the two WIYA languages. Ten-minute oral examination (20% of final grade) in the other of the two WIYA languages. http://www.standrews.ac.uk/modlangs/undergraduatestudents/yearabroadhandbook/yagui delines/ Pre-advising • If you are studying abroad for a full year, you should not pre-advise on the St Andrews system • If you are studying abroad for one semester, you should pre-advise now for the semester you will spend in St Andrews Credit and Grade Conversion Alan Dearle Dean of Science Kinds of external placement • With integrated year abroad: • 60 credits WIYA (dissertation) • External placement: • 120 credits (Biology Chemistry etc.) • Study overseas Year abroad: • 120 credits The Process • All subjects to be studied overseas must be agreed as part of your learning agreement. • Provisional agreement must be made before travelling overseas • You must confirm your choices once enrolled overseas and this must be signed off by your Study Abroad Co-ordinator studyabroad@ • Print, sign and return your approved Learning Agreement to CSA no later than four weeks after arrival at your host institution The Learning Agreement Failure to return it within the four week timeframe will have terrible consequences The Learning Agreement Failure to return it within the four week timeframe will have terrible consequences: • Any credits awarded overseas will not be recognised by St Andrews. • Students would remain liable for tuition fees for the semester(s) of study abroad. • Permission to study abroad in Semester Two would be withdrawn (if applicable) and students would be expected to return to St Andrews. • Erasmus+ students would be required to return their Erasmus Mobility Grant to the University. The Learning Agreement • The learning agreement is available to download from the Collaboration & Study Abroad webpages https://www.st-andrews.ac.uk/studyabroad/outgoingstudents Before you go • Familiarise yourself with the Policy on credits and grade conversions for study abroad. www.st-andrews.ac.uk/studyabroad/outgoingstudents/CreditandGradeConversion • Ask your Study Abroad Co-ordinator(s) before you go abroad if you have any questions. • Discuss any circumstances likely to affect academic performance with your Study Abroad Co-ordinator(s). Module Choices • You must enrol in a normal full-time load at the host institution • Students must take appropriate recognised subjects • Modules should provide adequate preparation for the next level at St Andrews • Language modules for international students do not count toward the normal credit load • No allowance will be made in grade conversion for unauthorised over-reaching While you are abroad • Any subsequent changes to your programme whilst abroad must be approved by your Study Abroad Co-ordinator(s) and an amended Learning Agreement completed and returned to CSA • Signal any academic problems you encounter while you are away AT ONCE to your Study Abroad Co-ordinator(s) in St Andrews • Before you leave your host institution, ensure you follow any procedures in order to allow them to release your transcript to St Andrews. No credit will be transferred until we receive an official transcript of your results Grade Conversion • Grades awarded by other institution are converted to St Andrews grades on return. • All approved modules will be converted back; there will be no retrospective discounting of credits • The partner institutions’ grades are taken as accurate. • Application of the standard conversion rate is expected by the Deans. • Any departures from standard conversion rates are EXCEPTIONAL and have to be fully explained and justified by the School On your return to St Andrews • Submit any evidence you wish your School to consider in the grade conversion process to your Study Abroad Co-ordinator(s) by the end of Week 2 in the semester immediately following your Study Abroad period(s). • Bring back copies of your work • In case a second round of grading is necessary (next slides) • Conversions effected in Schools using Standard Conversion Tables • Proposed conversions submitted to the Deans for approval of methodology used • Approved credit and grade conversions added to your student record and used in degree classification Grade Conversion • Where an overseas marking band covers more than one St Andrews grade, the default conversion will be the lower of the St Andrews grades. • For higher grades, supporting information and further evidence required, e.g. • Class position • Tutors’ notes (advisory only) • Proposed conversions above the base level must be based on evidence and academic judgement Querying Grades • While abroad: • To contest a grade obtained during Study Abroad, take the matter up immediately with your host institution. • It will be dealt with under local rules at the partner institution before you leave. The partner institution’s rules will apply. • On return to St Andrews: • A student appeal against the St Andrews conversion of study abroad grades should be lodged with the Head of School within five working days of the results being posted on your student record by Registry. Section 3: Money Matters and Student Support All students who will be studying or working abroad (or in UK) in 2016-2017 as part of an approved programme. Full fees (Arts, Divinity, Science) in 2016/17 will be: £1,820 for Home students (Scotland/EU) £1,820 for RUK students who started pre-2012 £9,000 for new regime RUK students (England, Wales, N.Ireland) who commenced their studies from 2012. £17,890 for Overseas students Half fees (Arts, Divinity, Science) in 2016/17 will be: £910 for Home students (Scotland/EU) £910 for RUK students who started pre-2012 £4,500 for RUK students (England, Wales, N.Ireland) who commenced their studies from 2012. £8,945 for Overseas students Tuition Fees – Full or Half? Students should seek advice about eligibility criteria and application process from the CSA team. Students from the rest of the UK (Erasmus+) Study Abroad (one semester) • Full tuition fee loan available from the SLC If you spend the full 2016-2017 academic year on an Erasmus+ Study Abroad, External Placement or WIYA programme, your tuition fees will be covered through the Erasmus+ programme. Erasmus+ Mobility Grants • • • • • • Students participating on an Erasmus+ study or work placement are eligible to receive the Erasmus+ grant Grants are calculated on a monthly rate and are provided as a contribution to the costs of the Erasmus+ mobility period Grant amounts are determined by the UK National Agency. Erasmus+ Mobility Grants While you are abroad you must complete a number of documents in order to meet the requirements of your Erasmus+ status. Failure to do so may delay your second grant payment or may mean that you will be required to return your Mobility Grant.
