Importing Student Information into MicroGrade using Office 2010 1. Go to Faculty Online. 2. Select the section #, and then click on Output to Excel. 3. After the Excel file opens, delete the unnecessary columns, such as Dept., Section, Instructor, Grade, etc., leaving only the student information you need—ID Number (if desired), Name, Phone, and Email Addresses. 4. Highlight the information (Including the column headers…ID, Name, Etc.) and copy it. Then open Microsoft Word and paste. 5. Once the table appears in Microsoft Word, you may need to select/highlight it and reduce the font just a little bit. With the table still selected go to Table Tools-Layout at the top right which now becomes visible due to selecting the table. Choose Convert to Text in the Data group. Steve Johnson, EAC Center for Teaching & Learning Rev. 7/10 Page 1 6. A dialogue box will appear stating “Separate text with. . .” Click on Tabs and OK. 7. Save the file as a plain text file (.txt). 8. Close the Word document and open MicroGrade. 9. When you’re ready to import student information, go to Students, Import Students, User Defined. A dialogue box will appear: “Select Import File Data Format.” The box should have a list of ID#s, names, etc. Click on Continue. 11. A dialogue box will appear: “Specify Import Fields.” For each line item, specify what it is (for example, ID, Phone 1, Email 1). For the name of the student, click on Combined First, Last Name. The name format should be Last, First Name. Place a space as the separator. 12. Optional: Click on Save Import Field Specification if you’d like to save this as a template. (but use the dropdown for each field first) 13. The following question may appear: “Automatic IDs is selected, replace IDs in import file?” Click on No. Steve Johnson, EAC Center for Teaching & Learning Rev. 7/10 Page 3 14. Your student information should all be entered and then you are ready to set up your preferences and create your categories/assignments.
