Setting Up Details for Recurring Events
(i.e. Topic, Presenters, Locations,
etc..)

1. From an internet browser URL (Firefox, Internet Explorer 9 or higher, Google Chrome, or Safari)
type: uofm.ventis.ca
2. Enter your username & password that was provided to you by your Department/PGME Office.
3. Click "Login".

4. Once you have logged in, the following landing page Dashboard will open.
Click on “Daily” (on the Top Tab)

5. You will be taken to the Daily page .
Click on “Educational Events” (on the left menu)

6. After setting up the events Recurring (Recurring = YES) Weekly / Monthly, the already
created events will appear on the list.
Click on the
button, more information will appear with more buttons:


= to Remove the event
Click on this “Attach File” button to attach
PDF file(s) - Able to attach multiple PDF files
= Click on this button to Edit the event. (after clicking on this Edit button,
the information will appear for editing)

= Click on this button if you want to Invite other program(s) to the event
** If you invite other program(s) to the event, you are the Host & other programs are the
invitee.
* Attach PDF file(s) = the trainees will receive the documents to read for the events.
Click on Edit button to set up the details (i.e. Topic, Presenter, Location, etc..)

7. After Clicking on Edit , the modal opens with more information to edit.
Click on this “Recurrence Options” to see Details of
Monthly/Weekly Setup

8. Click on “Event Details”
All the buttons are defaulted to
NO
-
Private:
 YES = the event can only
be viewed within the
program
 NO = the event can be
viewed by other programs.
-
Recurring:
 YES = the event reoccurs
 NO = the event happens
only one time and not
reoccurs.
-
Off-Service:
 YES = if you want to
include the Off-Service
Trainees (who currently
rotates at your program) to
the event

NO= if you DO NOT want to
include the Off-Service
Trainees (who currently
rotates at your program) to

9.
Enter:
- Date YYYY-MM-DD
- Start Time & End Time
(24-hour clock). You can
either type in the time or
use the up/down arrows.
- All Day:
 YES = the event is All
Day
 NO = the event is NOT
All Day
- Topic ** if you do not
know the topic at the time
of setting up the events
yet, you can leave it blank
& come back to enter the
topic.

Enter:
- Internal Presenter(s)
 Able to enter multiple
presenters
 Select the presenters
in the list which
includes everyone
who has teaching
roles (Faculty &
Trainees) in all
programs
** If you do not know
the presenter(s) at
the time of setting up
the events yet, you
can leave it blank &
come back to enter
the presenters later.
** You can type in a first
few letters of the person
name for ease of searching

11. This is Recurring Event
(Recurring = YES)
- Type in the External
Presenter(s)
 Able to enter multiple
presenters
- Select the Presenting
Location
 Presenting Location is
where you host the
event
 When a broadcast location is selected, you
click on the drop down menu again to select
another location, the already selected
location is dropped out of the menu list so
that you will not select a location twice
accidentally
- Select the Broadcast
Location
 Broadcast Location is
location(s) where you
broadcast with /
Telehealth with.
 Able to select
multiple location(s)

12. This is Recurring Event
(Recurring = YES)
After Clicking on the
“Mandatory” option, All
the PGY Level will have the
“M” in their boxes.
(M = Mandatory)
If you select “NonMandatory” option, the
PGY Level boxes will have
letter “N”.
- PGY Level:
 Click on ALL =>
“Mandatory & NonMandatory” options
appear.
 ALL = apply to All PGY
Levels
- Mandatory (M) = this
event is Mandatory to All
PGY Levels
- Non-Mandatory (N) = this
event is Non-Mandatory
to All PGY Level
After the PGY Level boxes are
selected with an option,
Clicking on the “All” button
again will remove the option.
Or
Clicking on the specific PGY
Level to remove the option/
change the option
individually.
13. This is Recurring Event
(Recurring = YES)
- Details:
 You can put
notes/details of the
event.
After entering all the
information, Click on:
 Save = to save the
information & event
 Cancel = Not to save
the information &
event

14. The created events will appear on the list.
Click on the
button, more information will appear with more buttons:

15. After Clicking on “Invite” button,
a modal will open to:
- Select Program(s) from the drop
down menu you want to invite
 Able to select multiple
program(s)
- Select the PGY Levels Able to
select multiple program(s)
 Click on ALL => “Mandatory &
Non-Mandatory” options
appear. ALL = apply to All PGY
Levels
After the PGY Level boxes are selected with an
option, Clicking on the “All” button again will
remove the option. Or
Clicking on the specific PGY Level to remove the
option/ change the option individually.
After Clicking on the “Mandatory” option, All the PGY Level will
have the “M” in their boxes. (M = Mandatory)
“Non-Mandatory”, the PGY Level boxes will have letter “N”.

16. Click on “Invite” button.
17. It takes you back to the events list. Click on the
to see more details.
** The Invitee program(s) will get a notifications about the event. If the Program accepts the
invite, the event will appear on their trainees’ calendars.
You will see your are the Host
Other program(s) you invite will
appear on the list
