The TCGC is primarily occupied during evenings and weekends for delivery of innovative graduate-level academic programs. When classes are not in session, special events are encouraged on a space-available basis. Job fairs, open houses, meetings, conferences and workshops are examples of special events that may be held at the TCGC. This Guide is intended to introduce the TCGC to students, rental clients, and visitors of the facility. Whether you’re visiting for a meeting, class, workshop, or other event, we hope the TCGC serves you well. A separate Facility Information Guide is available for faculty in print and online. ABOUT MAPLE GROVE Maple Grove is an exciting, progressive northwestern Twin Cities’ suburb that offers a fabulous variety of dining, shopping, cultural activities, and guest accommodations. The TCGC is just minutes away from several retail centers, including Maple Grove’s acclaimed Arbor Lakes areas. Dining options are abundant in Maple Grove. Culvers, McDonald’s, Caribou Coffee, Subway, Jimmy John’s, and Original Pancake House are within a mile of the Graduate Center. Other options, from casual to fine dining, are less than five miles away. Several lodging options are also nearby. The Hilton Garden Inn and Extended Stay America are closest to the Graduate Center. The Hilton Garden Inn offers dining and a preferred rate for St. Cloud State faculty, staff, students, and participants. For additional information, contact the TCGC coordinator at 320.308.6000, [email protected] . 3 GENERAL INFORMATION Directions to the Twin Cities Graduate Center Coming from the north on I-494: Exit at Bass Lake Road (exit #26) At the top of the ramp, turn left onto Bass Lake Road. Proceed to the second stop light and turn left onto Sycamore Lane. Follow Sycamore Lane approximately ¼ mile (go past McDonald’s) until you see the Sycamore Plaza building on your left. The Graduate Center is on the first floor of Sycamore Plaza. Coming from the south on I-494: Exit at Bass Lake Road (exit #26) At the top of the ramp, turn right onto Bass Lake Road. Proceed one block and turn left onto Sycamore Lane. Follow Sycamore Lane approximately ¼ mile (go past McDonald’s) until you see the Sycamore Plaza building on your left. The Graduate Center is on the first floor of Sycamore Plaza. Facility Information The TCGC occupies Suites 100 and 175 (12,316 square feet) in Sycamore Plaza. Suite 100 consists of four classrooms, a break room, a conference room, three small breakout rooms, and a Commons area. Suite 175 consists of a reception area, four offices, and one classroom. Please see pages 10 and 11 or visit the Floor Plans page to view a layout of the facility. The break room in Suite 100 is equipped with cupboards, a refrigerator, a microwave, a sink, tables and chairs. Restrooms are located in the first floor main hallway adjacent to Suite 100. The TCGC is a non-smoking facility. Vending machines are located in the loading dock area on the first floor of Sycamore Plaza. Food and non-alcoholic beverages are allowed in the TCGC. Alcoholic beverages are not permitted. See pages 3 and 6 for more information about food and dining. Hours of Operation TCGC business hours are generally Monday through Friday, 10:00 am to 6:30 p.m. Occasionally, office hours are adjusted to accommodate special events—contact 320.308.6000 or [email protected] for more specific information. 4 Sycamore Plaza building hours are Monday through Friday, 6:30 a.m. to 10:00 p.m.; Saturday, 8:00 a.m. to 4:00 p.m.; Sunday, closed. Parking Parking is available around the building free of charge. Monday through Friday daytime parking is limited to approximately 50 unoccupied spaces. Evening and weekend parking is limited to approximately 225 unoccupied spaces. Severe Weather SCSU’s Severe Weather/Winter Closings instructions state every effort is made to cancel day classes and events by 5:00 a.m., and before 3:00 p.m. for evening classes and events. For emergency closings/delays/cancellations, students and faculty should contact SCSU by dialing 1.800.369.4260, or listen to local radio and television stations for cancellation announcements. Rental clients and visitors may contact the TCGC coordinator, 320.308.6000, for cancellation information. Technology See page 9. Tenant Information SCSU is a tenant at Sycamore Plaza. Common spaces (i.e. lobby, restrooms, parking lot) are shared by all tenants, and we make every effort to be considerate of our neighbors. Because the TCGC is a leased facility, some policies/practices/procedures/services may be different than those on the SCSU campus. 5 SPECIAL EVENTS Job fairs, open houses, meetings, conferences and workshops are examples of special events that may be scheduled at the TCGC. Special events are encouraged, on a spaceavailable basis. Availability for special events is greater during daytime hours, academic breaks, and in the summer. These events are scheduled with the TCGC coordinator in advance and they must not interfere with academic classes. When classes are in session, special events must be contained in one room and, in most instances, contained in the suite where classes are not being held. Meetings in the Conference Room are an exception. Typically, the Suite 100 Commons area may not be reserved at times when classes are in session. Food and non-alcoholic beverages are allowed in the TCGC; alcoholic beverages are not permitted. Catering for special events must be arranged through an outside vendor and is the responsibility of the organization hosting the event. The TCGC coordinator can help with caterer recommendations, and should be informed of all catering arrangements. The following paragraphs describe amenities and/or conditions that apply to special events being held at the TCGC. Occupancy: Occupancy does not create a landlord-tenant relationship between SCSU and a host organization. Upon completion of a signed occupancy agreement, SCSU is permitting the host organization to use the facility, or a portion thereof, according to terms set forth in the agreement. It is specifically understood that permission to use SCSU facilities is not exclusive to the host organization. TCGC staff shall have the right to enter and use the facility at all reasonable times for purposes of inspection or other purposes as may be required by SCSU. Event Set-up and Take-down: TCGC classrooms are equipped with movable tables and chairs arranged in classroom-style seating. Host organizations may arrange tables and chairs within classrooms to best meet their event needs. Upon conclusion of events, host organizations are encouraged to put tables and chairs back in classroom-style seating. If special table arrangements are needed for catering or other purposes, host organizations should consult with the TCGC coordinator at least five business days prior to the special event. In Suite 100, there is a break room equipped with a full-size refrigerator, microwave, and sink. The break room may not be reserved, but may be used by faculty, staff, students, and visitors. 6 Maintenance of Space: Host organizations must agree to maintain the TCGC in a reasonably clean and sanitary condition. After special events, the TCGC is inspected. If repairs or replacement of missing or destroyed property are needed, the TCGC will submit an invoice to the host organization which will be due within ten (10) days of receipt of invoice. Rules and Regulations: Host organizations must agree to honor and abide by all rules and regulations set forth by the TCGC during its occupancy of the Center. Hold Harmless and Indemnify: Host organizations shall indemnify and hold SCSU and the TCGC harmless for any suits, actions or claims, whether formal or informal, direct or indirect, for injury, death, property damage or loss, including loss as a result of theft or misappropriation, made by or on behalf of any person or persons, firm, or corporation arising out of or relating to the conduct, management or use of the Center by the host organization or arising out of any work or thing done in or about the Center’s space or structures, or equipment in the space, when such has been authorized by the host organization, except as such injury, death or property damage or loss is attributable solely to SCSU or the TCGC’s negligence as determined by a court of law. Host organizations assume all responsibility for security throughout their occupancy and use of the Center. No Assignment; Amendments: Host organizations shall neither assign nor transfer any rights or obligations of an occupancy agreement without the prior written consent of the TCGC. All amendments to an agreement shall be in writing and executed by a duly authorized representative of each party. Cancellation: An occupancy agreement may be canceled by either party at any time, for any reason, upon ten (10) days written notice to the other party. Providing quality customer service is important to us. The TCGC coordinator will gladly work with you to make your event successful. For additional information, or to reserve space for your special event, contact the TCGC coordinator at 320.308.6000 or [email protected]. 7 RENTAL RATES St. Cloud State University organizations (does not apply to HBS, COSE, SOE) Classrooms / conference room during TCGC business hours of 10:00 am to 6:30 pm* – $35 per hour Classrooms / conference room before/after TCGC business hours* – $50 per hour Non-St. Cloud State University organizations Classrooms / conference room during TCGC business hours of 10:00 am to 6:30 pm* – $45 per hour Classrooms and conference room before/after TCGC business hours* – $65 per hour Discounts (when applicable) 10% discount for rentals of four or more hours in length 10% discount when eight or more rentals (multiple dates, singular billing/payment) are requested by one organization Additional Fees (when applicable) $50 cancellation fee if cancelled less than 48 hours prior to scheduled rental $25 set-up fee when technology assistance is needed for Adobe Connect Rates are reviewed and subject to change each fiscal year (July 1-June 30). a. Payment of rental fees are required on or before the special event date. b. Normal janitor services and utilities are included in the rental rate. c. Host organizations are responsible for arranging catering and security services, if needed. All security plans shall be approved by SCSU prior to the event. d. Any additional charges incurred during the course of an occupancy agreement are due in full upon ten (10) days of receipt of invoice from the TCGC. TECHNOLOGY Classroom Technology Equipment TCGC classrooms are equipped with technology stations which include a Crestron control device, computer, monitor, keyboard, mouse, laptop connectors, document camera, and campus telephone with a hotline button to SCSU’s HuskyTech support desk. Technology stations are wired to ceiling-mounted projectors, microphones, and screens. Laptop Charging Stations Charging stations are available in each TCGC classroom. Student Computers and Printing Station Student-access computers and a printing station are located in the Suite 100 Commons area. A Star ID is required to logon to computers, and an SCSU Campus Card is required to print. Visitor’s should consult with the TCGC coordinator for access to the internet and/or for printing. Wireless Service The TCGC has wireless service in the facility. To access the wireless network, laptops may need to be configured to accommodate SCSU’s system. For instructions, go to Information Technology Services webpage or see the TCGC coordinator in Suite 175. For assistance, you may call SCSU’s HuskyTech at 320.308.7000. Short-term visitors can gain temporary access to the internet via SCSU’s Visitor network. Guests must have an employee, student, or faculty member sponsor their connection. Sponsors may login on the Guest Network Access page to create a single guest access account.
