UTB/TSC Test Proctoring Policy, Guidelines, and Responsibilities for Online Students To facilitate the finding of secure testing environments, ITS Online Learning has established guidelines and procedures by which students enrolled in blended learning courses may take proctored examinations. Instructors determine whether proctored examinations are required for their course. Policy Statement As per Academic Affairs and Student Affairs policies, evidence of scholastic dishonesty related to examinations in an online course may result in a grade of "F" on the examination and an "F" in the course. In this regard, scholastic dishonesty includes, but is not limited to: • • • • • • copying from another student's exam; using materials not authorized by the professor; possessing materials such as lessons, books, or notes which are not authorized by the professor; knowingly using or soliciting in whole or part the contents of an unadministered test; collaborating with or seeking aid from another person during the test without authority; substituting for another person, or permitting another person to substitute for one's self, to take a test. Proctored exams must be taken and supervised at an official testing center during regular testing center hours at an accredited community college, college or university at the student’s expense. Responsibilities To establish responsibilities and guidelines by which students enrolled in online courses at UTB/TSC may take proctored examinations as designated by the instructor. Participants included in these responsibilities are the instructor, ITS Online Learning staff, the student and the proctor. Students should be familiar with each participant's role in this process. Individual responsibilities of each participant are described below. Student responsibilities • Learn whether proctored tests will be used in a course by reviewing the syllabus and preliminary syllabus for your course. • Review the proctoring information, policy and guidelines and responsibilities • Make arrangements to take an exam through an official testing center with a proctor at an accredited community college, college or university’s testing center. To aid you in your search for the location that meets all requirements as defined herein and by your instructor, here is a list of accredited universities and community colleges, listed by state, with links to websites: http://www.utexas.edu/world/univ/. • Verify with the testing center that they can host you for an online test. • Submit your choice of proctor for approval by the Friday of the first full week of class to [email protected] by copying and pasting the table below into an email and then adding the appropriate information in each field of the table before sending your email. Failure to meet this deadline will result in you having to travel to the campus to take the exam. Proctor’s Name: Proctor’s Telephone Number: Proctor’s Email Address: Proctor’s Fax Number: Proctor’s Mailing Address: Note: Do not submit a Post Office Box address. The address must be a street number and street name. • Handle all communications with the proctor to arrange your testing date and time. • After ITS Online Learning Staff confirm that your proctor is approved, confirm with the proctor the date and time, within the testing window defined by your instructor, that you intend to take the exam. • Pay any testing fees to the testing center, if applicable. • Take the exam during the time you arranged with the proctor. Note: If a student fails to follow these guidelines and responsibilities, she/he will be required to take the exam at the time arranged by the faculty for on-campus testing. Note: An email containing a proctor request must be for one course only. If a student has more than one course that requires a proctored exam during a semester, the student must submit one email per course. Note: The student will be notified within one week after the submission deadline whether the proctor choice has been approved. Instructor responsibilities • Include proctoring information as soon as possible (e.g., course catalog, course schedule, or preliminary syllabus) informing students that tests will be administered by proctor, and that the student may incur additional fees for proctor services. • Include information in the course syllabus to inform students: • Revised 3/22/2011 that proctoring will be used; 2 • • • • the dates for the one period during which every student must complete the proctored exam; provide proctor information policy and responsibilities to students the date by which students must have sent their proctor information to ITS Online Learning; that the student may incur extra expense in proctor fees for each proctored exam. UTB/TSC Online Learning and Instructional Technologies responsibilities • Assist faculty and students in finding official testing center with a proctor at an accredited community college, college or university’s testing center • Coordinate arrangements for exam proctoring; receiving and vetting student's proctor choice; distributing the exam or the proper authentication credentials to the proctor with other proctoring information. • Notify instructor if the exam procedure has been compromised. Proctor responsibilities • Confirm the arrangements with the student. • Receive the exam password and access instructions via email and keep them secure until testing time. • Contact ITS Online Learning with any concerns by calling 1-866-654-4555 • Supervise the student taking the exam. This supervision includes: following all exam instructions; identifying the student with two photo IDs; assisting the student in contacting technical support in the event that an online exam is interrupted, and reporting any to ITS Online Learning staff at [email protected]. • Terminate the exam if the testing procedure is compromised due to the student's improper conduct. Notify ITS Online Learning immediately. • Judge whether or not an exam should be terminated based on extreme testing environment irregularities, that are not resolvable, such as the room is too hot or cold or too noisy. If the student wishes to continue with the exam, allow this, but send an email with an explanation of the situation to ITS Online Learning staff at [email protected]. • Assure that the student logs off and closes the browser after completing the test.
